Core Responsibilities
The Academic Affairs Office serves as the central hub for academic administration at Justo Mwale University. It oversees key functions that uphold academic integrity, support student success, and ensure compliance with institutional and national regulatory frameworks. Its responsibilities span the full student lifecycle—from admission to graduation—and contribute directly to the quality and credibility of the university’s academic mission.
Student Registration and Orientation
• Coordinating and administering registration processes for all new and continuing students.
• Designing and delivering orientation programs that support students’ successful integration into the academic, social, and spiritual life of the University.
Academic Records Management
• Maintaining, safeguarding, and updating official student academic records in accordance with institutional and regulatory requirements.
• Verifying enrollment status, academic standing, and the conferral of degrees and other awards.

Policy Interpretation and Application
• Interpreting, implementing, and ensuring compliance with university academic policies, regulations, and procedures.
• Certifying student eligibility for associate and baccalaureate degrees.
• Determining residency classification for tuition and fee assessment purposes.
Academic Support Services
• Coordinating grading processes and supporting academic departments in the provision of academic advising.
• Upholding standards of integrity, fairness, and transparency in assessment, progression, and academic decision‑making.
Ceremonial and Institutional Functions
• Planning, coordinating, and directing university graduation ceremonies, convocations, and related academic events.
• Managing the formal processes through which student achievement is recognized and celebrated.
Transcript Services
All graduates are entitled to request an official transcript.
• Local graduates: ZMW 500.00
• International graduates: USD 120.00

Progress Reports
All enrolled learners may request a full progress report, which details completed courses and grades obtained. These may be issued at any point during the academic year.
• Local learners: ZMW 250.00
• International learners: USD 45.00
Curriculum and Academic Quality Assurance
• Supporting the development, review, and continuous improvement of academic programs in alignment with national regulatory standards and the university’s mission.
• Coordinating internal quality assurance processes to ensure compliance with ZQF, HEA, and professional accreditation requirements.
• Facilitating the implementation of outcome‑based education principles across all programs.
